Vet and Med Recording Adding Medicine Stocks

Before you can record medicine treatments against animal tag numbers, you must add medicine stocks to your FarmWizard account.  We recommend that you carry out a quick stock take of your medicine cupboard to add existing stocks to the system. New items can be added as they are delivered.

To add a new medicine stock item:

1.Go to Herd Manager and click on Add Vet Medicine under the Vet Centre sub menu

2.A data form will display for the details of the new stock item. The mandatory data items (marked with an asterisk) are:

  • Batch Number
  • Name
  • Supplier
  • Purchase Date (defaults to “today”)
  • Expiry Date (defaults to “today”)

Care should be taken when setting the Units of the Quantity Purchased as the system cannot accept decimal points e.g. 2.5 litres should be entered as 2500
The meat withdrawal period should be checked and entered from the drug manufacturer’s literature.
Entering the Cost is optional.

3.Click Add Batch to save the new medicine stock item.  The new stock item will display in the drop down list of medicines within the animal treatment screens

 

Recording Single Vet Treatments and Actions

To record a medicine treatment or action for a single animal, you must have first added medicine stocks to your FarmWizard account

1.Go to Herd Manager > List Herd. Use one of the following search methods or scroll through the herd list to locate the required animal

 

 

 

 

 

 

Selling Animals Scroll through the list and single left click on the required animal ear tag to display its details
Selling Animals search by management tag number.  Type a double quote (“) before the number to search for an exact match
Selling Animals search by Government ID number. Type a double quote for an exact match or enter the last few digits for a partial match. All matching tags will be displayed in the grid list below when you click Search

 

2.Click the Add Treatment button. A new date entry form will display

3.To record a veterinary action (no medicine usage):

a.Select the veterinary action type from “non-medical activity” drop down list

b.Select the name of the person carrying out the action from the drop down list or select “Other, enter value >” to enter a new person

c.Select the treatment reason from the drop down list or select “Other, enter value >” to enter a new reason

d.Select the date the treatment was administered and the date it was finished (for non-medicine actions, these dates may be the same)

e.Enter any general notes or for 7 day follow up

4.To record a medicine treatment:

a.Select the Quantity of medicine administered and select the medicine stock item used. The stock item drop down shows all stock items with the medicine name, batch number, expiry date and quantity remaining in stock

b.If a second medicine is being administered, complete the detail as above using the Additional Treatment drop down boxes

c.Select the name of the person carrying out the action from the drop down list or select “Other, enter value >” to enter a new person

d.Select the treatment reason from the drop down list or select “Other, enter value >” to enter a new reason

e.Select the date the treatment was administered and the date it was finished

f.Enter any general notes or for 7 day follow up

5.Click Add Entry to save the record. In situations where a third of fourth medicine is administered, click Add Entry & Record Another

Batch Recording Vet Treatments and Actions

The Batch Manager enables you to quickly record a treatment against multiple animal tags. This is especially useful for routine preventative  treatments like vaccinations and drenching.

To record a batch treatment, you must have first added the required medicine as a stock item:

1.Go to the Herd Manager main menu and click on Batch Manager

2.Define the list of animals to be sold by typing in a list of animal IDs, applying a filter or selecting from the list box

3.Click the Record Event button and then the Batch Vet button

4.To record a veterinary action (no medicines):

a.Select the veterinary action type from “non-medical activity” drop down list

b.Select the name of the person carrying out the action from the drop down list or select “Other, enter value >” to enter a new person

c.Select the treatment reason from the drop down list or select “Other, enter value >” to enter a new reason

d.Select the date the treatment was administered and the date it was finished (for non-medicine actions, these dates may be the same)

e.Enter any general notes or for 7 day follow up

5.To record a medicine treatment:

a.If more than one stock item will be required due to a large number of animals being treated, tick the “spread treatment across multiple batches with the same name” box. FarmWizard will automatically draw the medicine stock required

a.Select the Quantity of medicine administered and select the medicine stock item used. The stock item drop down shows all stock items with the medicine name, batch number, expiry date and quantity remaining in stock

b.If a second medicine is being administered, complete the detail as above using the Additional Treatment drop down boxes

c.Select the name of the person carrying out the action from the drop down list or select “Other, enter value >” to enter a new person

d.Select the treatment reason from the drop down list or select “Other, enter value >” to enter a new reason

e.Select the date the treatment was administered and the date it was finished

f.Enter any general notes or for 7 day follow up

6.Click Add Entry to save the record. In situations where a third of fourth medicine is administered, click Add Entry & Record Another

Dry Off Treatments

The Dry Off screens accessed via the Herd List and Batch Manager provide a drop down list of medicine stock items to enable record dry cow treatments to be recorded.

Alternatively, you can record multiple dry cow medicine treatments via the Batch Vet option from the Batch Manager.  When you set the Treatment Reason as “Dry Off”, the cows will be moved to the Dry breed state in the Breed Cycle Manager, which will update the relevant breeding reports and fertility statistics.

Recording a TB Test

A TB Test is recorded using the Batch Manager

1.Go to the Herd Manager main menu and click on Batch Manager

2.Define the list of animals to be tested by typing in a list of animal IDs, applying a filter or selecting from the list box

3.Click the Record Event button and then the Batch TB Test button

 

 

 

 

 

 

 

 

4.Enter the name of the member of farm staff over-seeing the test, the date and any notes

5.Record the test value for each animal

6.Click Record Test to save the data

Viewing TB Test Reports

To view a report for a previously saved TB Test:

  1. 1Go to the Reports main menu, then click on Design Report under the QA Reporting sub menu
  2. Set the required date range From and To
  3. Click List TB Tests
  4. The report will be displayed on screen with options to download to spreadsheet or PDF formats

 

Managing Medicine Stocks

The FarmWizard software enables you to record and manage medicine stocks for farm assurance purposes.

Stock Control

When you record animal treatments, the dosage amounts are drawn from the medicine items in stock.  The quantity in stock is then re-calculated until it shows as zero. However, to accomodate “real world” scenarios (residual quantities left in a bottle/pack), you can continue treating animals from a zero quantity stock item.  When the stock item is finished, it can be removed from the stock list.

Finishing a medicine stock item

When a stock item is finished, it can be removed from the drop down list of stock items on the animal treatment screens:

1.Go to the Herd Manager main menu and click on the List Vet Medicine sub menu

2.Select the required stock item in the list. It’s detail will display in the panel to the right

3.Click the Mark As Finished button to remove the medicine from the available stock list

 

 

 

 

 

 

 

 

 

 

 

 

Amending the detail of a medicine stock item

FarmWizard enables you to amend the detail of a previously recorded stock item:

4.Go to the Herd Manager main menu and click on the List Vet Medicine sub menu

5.Select the required stock item in the list. It’s detail will display in the panel to the right

6.Click the Update Batch button to load the data editing screen

7.Amend the detail as required and click Update Batch to save the changes
